The short answer
To finish a home inspection report on site, write each finding into the report app where you find it, with its photos, using comments you already have in your template. Then check the defect summary and publish before you drive away.
Three kinds of tools make that normal: a mobile report app that keeps working without signal, a comment library you can search or match from one sentence, and publishing that sends the report for you. Hive Inspect is home inspection report writing software that puts all three in one app. You type or say a finding into Smart Add, it finds your matching comment or drafts a new one, and you publish from your phone.
Why reports slip into the evening
Most late reports aren't late because of the inspection. They're late because the work gets done twice. Once on site, as notes and photos. Then again at the desk, when you sort the camera roll and retype what you saw.
Every finding you write on site is one you don't rebuild later. The steps below are about closing that gap.
Step 1: Get your template ready before inspection day
Speed on site comes from the template. You want a comment ready for the defects you see every week, split into information, limitations and defects, so on site you pick and adjust instead of writing from nothing.
Hide the sections you rarely need, such as a pool or a well. They stay out of the way until a house has one.
In Hive you can upload your template from Spectora, Home Inspector Pro, HomeGauge or Horizon, or import a ready-made one from the Template Hub. Most Hub templates were shared by working inspectors and come with their full comment library. Hidden sections can be shown on site from the app.
Step 2: Write each finding where you find it
Stand in front of the defect, take the photos, and put the comment in the report before you move on. Don't leave notes for later.
In Hive, Smart Add does this from one sentence:
- Open the report in the app and tap Smart Add.
- Type the finding, or tap the microphone and say it. For example: "Defect in the detached garage, cracked concrete floor."
- Add photos or a video.
- Smart Add searches every comment in the report and shows up to three matches, each with a match score. Attach your photos to the right one and tap Done.
- If nothing fits, tap Create new comment with Hive Comment Assist. It drafts the comment and picks the section. Check the wording, then add it.
You go back to the screen you were on, so you don't jump between sections. Inspectors report Smart Add saves them 25–30 minutes per inspection.
The in-app camera helps too. It takes many photos in quick succession, you can mark them up with arrows and circles, and you can tag each one with where you found it, such as "master bedroom".
Step 3: Keep going when the signal drops
Crawlspaces and basements often have no signal. Your app should keep working anyway.
Hive does: you can take photos, write and edit offline, and the report syncs when you're back online. Smart Add and AI Comment Assist need a connection. In a dead zone, take the photos and add comments from the section list, and use Smart Add again once you have signal.
Step 4: Flag what needs research and keep moving
Some findings need a lookup, like a manufacture date or a recall. Don't stop the walkthrough for it. Flag the comment and come back to it.
Flags in Hive are private to you, and the app lists them in one place. A report with flagged comments can't be published until you clear them, so nothing slips through.
Step 5: Check the defect summary before you leave
Before you pull away, read the defects once as a list. You'll catch a missing photo or a comment in the wrong section while you can still walk back in.
In the Hive app, the defect summary lists every defect with a count per category. You can filter it, and walk the client or agent through it on site.
If you want a hard stop, turn on Require completed sections to publish in your organization settings. A report then can't be published until every section is marked as visited. It's off by default.
Step 6: Publish from your phone
Publish from the app, before you leave or from the truck. In Hive, publishing makes the PDF and sends the report-ready email or text to the client and agent, through the automations you set once.
If you use the report lock, the client can open the report once they've signed the agreement and paid. You don't chase anyone by email.
Prefer to proofread on a laptop? Open the same report in the web editor. Changes you made on the phone show up there, and you can fix a comment in place from the report preview.
A short checklist for same-day reports
- Your template has comments for the defects you see every week.
- Every finding goes into the report where you find it, with its photos.
- Anything that needs research is flagged, not left in your head.
- You read the defect summary before you leave the property.
- Publishing sends the report, and the client opens it once they've signed and paid.
